Overview
The Change Orders module in CUBE provides a structured system for managing contract modifications throughout your construction project's lifecycle. It enables project teams to formally document, review, and approve changes to contract scope, budget, timeline, milestones, and associated files.
Through configurable approval workflows, the Change Orders module ensures that all contract modifications are properly authorized and documented before being reflected in the parent contract, maintaining financial controls and contractual integrity.
Core Features
- Unique Change Order Identification
Every change order is assigned a unique number for tracking and reference.
- Multi-level Approval
Change orders progress through configurable approval levels, with each section routed to designated approvers.
- Status Management
Change orders can be rejected at any approval level; once rejected, they cannot be resubmitted but can be approved subsequently.
- Deadline Management
Change orders are created with specific deadlines to ensure timely processing.
- Assignment Flexibility
Change orders can be assigned to specific users or teams based on project requirements.
- Pending State Control
Until a change order is approved, proposed changes do not reflect in the parent contract, ensuring only authorized modifications take effect.
- Contract Integration
Once approved, change orders automatically update the parent contract's timeline, budget, milestones, and scope documentation.
How Change Orders Connect to Contracts
Change Orders work as the formal mechanism for modifying contract terms:
- Change Identification – Project teams identify the need for changes to contract scope, budget, timeline, or milestones;
- Change Order Creation – A change order is created from within the Contract, documenting the proposed modifications.
- Review & Approval – The change order progresses through the configured approval workflow with designated reviewers.
- Pending State – During the approval process, proposed changes remain in a pending state and do not affect the contract.
- Contract Update – Once approved, the change order automatically updates the parent contract's attributes:
- Budget – Revised financial allocations
- Timeline – Modified project schedules and deadlines
- Milestones – Updated project milestones
- Files & Scope – New or revised scope documentation
